Transform any device into a high-performance checkout station. Learn how to configure your POS terminals, manage hardware connections, and ensure a secure, seamless login process for your retail staff.
The Point of Sale is where your digital strategy meets your physical reality.
Pryseflow’s POS system is designed for speed, reliability, and flexibility. Whether you’re running a flagship boutique, a busy coffee shop, or a temporary pop-up market, our POS interface adapts to your environment. But before you can start ringing up sales, you need to set the stage. This guide will walk you through the technical setup of your POS terminals and the daily login workflow for your team.
What is a "Terminal" in Pryseflow?
In Pryseflow, a Terminal is a specific instance of the POS interface tied to a physical location and a set of hardware. You might have "Terminal 1" at your main counter and "Terminal 2" on a tablet for mobile service. Each terminal maintains its own cash drawer and activity log, ensuring perfect accountability.
Step 1: Creating a New POS Terminal
Before you can log in, you must define the terminal in your admin dashboard.
- Navigate to POS > Terminals.
- Click New Terminal.
- Assign a Name: Choose something descriptive (e.g., "Front Counter East").
- Select a Location: Link the terminal to one of your Warehouses. This ensures that sales made at this terminal correctly decrement stock from the right place.
- Configure Default Settings: Choose the default currency, tax rules, and whether this terminal should automatically print receipts.
Step 2: Connecting Your Hardware
A POS terminal is only as good as the hardware connected to it. Pryseflow uses Pryseflow Connect to bridge the gap between your web browser and your physical devices.
Receipt Printers
Connect your thermal printer (USB, Bluetooth, or Network) and ensure the Pryseflow Connect agent is running on your device. You can then select your printer from the terminal settings.
Barcode Scanners
Most scanners are "plug-and-play." Simply connect them to your device, and they will act as a keyboard input, allowing you to scan items directly into the POS cart.
Cash Drawers
If your cash drawer is connected via your receipt printer (RJ11), Pryseflow can automatically trigger it to open whenever a "Cash" sale is completed.
Pryseflow POS is fully responsive. If you are using a tablet, we recommend using the Pryseflow iOS or Android App for the most stable hardware connections and a dedicated "Full Screen" experience.
Step 3: The Daily Login Workflow
Security and accountability start at the login screen. We’ve designed the login process to be fast enough for a busy shift change but secure enough to protect your finances.
1. Accessing the POS URL
Your POS has its own dedicated URL (e.g., yourbrand.pryseflow.com/pos). We recommend bookmarking this on every device used for sales.
2. Selecting the Terminal
When you first open the POS, you will be asked to select which terminal you are using. This "locks" the device to that specific terminal’s cash drawer and settings.
3. Staff PIN Login
Instead of typing a full email and password for every sale, staff members use a 4-Digit PIN. This allows for rapid switching between servers or cashiers during a busy shift. Each staff member’s PIN is unique and linked to their specific user permissions.
Step 4: Opening the Shift (The Float)
Once logged in, the first task of the day is to Open the Shift.
- The POS will prompt you to enter the Opening Float. This is the amount of cash already in the drawer (the "change").
- Count your cash carefully and enter the total.
- Click Open Shift. The terminal is now live and ready to accept payments.
Step 5: Troubleshooting Login Issues
"Invalid PIN"
Ensure the staff member is assigned to the correct location in the admin dashboard. A staff member can only log in to terminals at locations they have permission to access.
"Terminal Already in Use"
Pryseflow prevents two people from being logged into the same terminal simultaneously to maintain cash drawer integrity. If a shift was left open by mistake, an administrator can remotely "Force Close" the shift from the admin dashboard.
"Printer Not Found"
Check that the Pryseflow Connect agent is active and that the printer is turned on and has paper. You can run a "Test Print" from the POS settings menu at any time.
Common Questions (FAQ)
Can I use the POS offline?
Pryseflow POS requires an internet connection to process payments and sync inventory. However, it has a built-in "Resilience Mode" that allows you to continue adding items to a cart during brief connectivity drops. Once the connection is restored, the sale can be finalized.
How many terminals can I have?
Your Pryseflow plan determines the number of active terminals you can run. You can add more terminals at any time from the Subscription settings.
Can I customize the POS interface?
Yes. In the terminal settings, you can choose between a "Grid View" (perfect for tablets/touchscreens) or a "List View" (optimized for barcode-heavy desktop environments).
Conclusion: Ready for Business
Setting up your POS terminal is the final step in your retail preparation. By correctly configuring your hardware, securing your login process, and establishing a disciplined shift-opening routine, you are ensuring that your team can focus on what matters most: the customer. A smooth checkout experience is the hallmark of a professional business.
