Processing Sales and Handling Different Payment Methods: The Art of the Checkout

The checkout is the final, most important touchpoint with your customer. Make it count.

A professional Point of Sale (POS) system should be invisible. It should work so smoothly that the technology disappears, leaving only the interaction between your staff and your customer. Pryseflow’s POS interface is built for this exact purpose. Whether you’re dealing with a long queue of holiday shoppers or a complex custom order, our system ensures that every sale is processed accurately and every payment is recorded with precision. This guide will show you how to master the sales workflow and handle the variety of payment methods used in 2026.

The Anatomy of the POS Screen

The Pryseflow POS is divided into three main areas:

  • The Catalog (Left): Your products, organized by category for quick browsing.
  • The Cart (Right): The items currently being sold, including quantities, taxes, and discounts.
  • The Action Bar (Bottom): Buttons for "Pay," "Clear Cart," "Save Draft," and "Open Drawer."

Step 1: Adding Items to the Cart

There are three ways to build a sale in Pryseflow:

The fastest method. Simply scan the item’s barcode. Pryseflow instantly adds the correct product and variant to the cart. Scanning the same item multiple times increments the quantity.

2. Visual Browsing

Perfect for tablets. Use the category tabs to find products visually. High-quality product images make this intuitive for new staff members.

If an item doesn’t have a barcode and isn’t easily found in the categories, use the search bar at the top of the POS. Type the name or SKU for instant results.

Step 2: Customizing the Sale

Sometimes a sale isn’t straightforward. Pryseflow gives you the flexibility to adjust on the fly.

Applying Discounts

You can apply a discount to a Specific Item (e.g., "10% off this damaged box") or to the Entire Cart (e.g., "R50 off for a loyal customer"). Discounts can be a fixed amount or a percentage.

Adjusting Quantities and Prices

Click on any item in the cart to change the quantity. If your user permissions allow it, you can also "Price Override" an item for a special deal.

Adding a Customer to the Sale

Click the Add Customer button to link the sale to a profile in your CRM. This is essential for tracking loyalty points, managing store credit, or emailing a digital receipt later.

Is a customer not quite ready to pay? Don’t hold up the queue. Click Park Sale to save the cart as a draft. You can then serve the next customer and "Retrieve" the parked sale when the original customer returns.

Step 3: Processing the Payment

Once the cart is ready, click the Pay button. This opens the payment selection screen.

Handling Cash Payments

Enter the amount of cash received. Pryseflow will instantly calculate the Change Due. If a cash drawer is connected, it will pop open automatically.

Integrated Card Payments

If you use an integrated card terminal (like Yoco or Paystack), Pryseflow sends the total to the terminal automatically. Once the customer taps or inserts their card and the payment is approved, the POS sale is finalized instantly.

Manual Card Entry

If your card terminal is not integrated, you will process the payment on the terminal manually and then click Card in Pryseflow to record that the sale was successful. This ensures your end-of-day reports match your terminal’s totals.

Digital Wallets and QR Codes

In 2026, many customers prefer paying via Apple Pay, Google Pay, or local QR solutions like SnapScan. These are processed as "Card" or "Digital" payments within Pryseflow, ensuring your records are complete.

Step 4: Receipts and Finalization

A sale is only complete when the customer has their proof of purchase.

Thermal Printing

If a receipt printer is connected via Pryseflow Connect, a professional thermal receipt will print automatically. You can customize the header and footer of these receipts in Settings.

Digital Receipts

Eco-friendly and great for data gathering. Offer to email the receipt to the customer. If they are already in your CRM, their email will be pre-filled. This is a powerful way to grow your marketing list.

Step 5: Handling Returns and Exchanges

The POS isn’t just for selling; it’s for service. To process a return, click the Returns icon in the POS menu. You can search for the original receipt number, select the items being returned, and issue a refund via the original payment method or as Store Credit.

Common Questions (FAQ)

Can I split a payment between Cash and Card?

Yes. Click Split Payment on the pay screen. You can record R100 in cash and the remaining balance on a card. Pryseflow tracks each portion separately for your reports.

What if the power goes out mid-sale?

Pryseflow POS uses "Local Storage" to remember the current cart. If your browser refreshes or the device restarts, the cart will be restored exactly as it was, allowing you to finish the sale once power/internet returns.

Can I sell an item that isn’t in the catalog?

Yes. Use the Quick Sale or "Custom Item" button. You can enter a description and price manually. This is perfect for one-off services or items you haven’t had time to add to the system yet.

Conclusion: Speed, Accuracy, and Smile

Mastering the Pryseflow POS workflow allows your staff to move through transactions with confidence. By utilizing scanning, handling multiple payment methods with ease, and offering both physical and digital receipts, you are providing a modern, professional experience that keeps customers coming back. Remember: the technology is there to support the sale, not to be the sale.

Happy selling!
